Lock-out Policy
Purpose
The purpose of this policy is to ensure locations on campus are secure, while allowing access to authorized individuals who may have forgotten or lost their key, or are unable to enter, due to a lock or door malfunction.
Priority 2
Lock-outs are considered Priority 2 work orders. The response time for Priority 2 work orders is four to eight business hours, because they generally do not pose health or safety risks or cause significant facility damage. Access Services technicians may address the issue sooner based on workload and urgency.
Typical Wait Time
Typical waiting time for lock-out assistance is within 30 minutes of being notified. If the response time is expected to exceed 30 minutes, the employee or resident should be notified accordingly.
Identity and Access Verification
Employees and residents must report in person and provide the following information:
- BYUH ID number
- Valid picture ID
- Full name
- Phone number
- Location of the lock-out
University staff will verify identity and authorization before granting access.
Where to Report
During Normal Business Hours: Access Services Office
Outside Normal Business Hours: Security Office
Lock or Door Malfunction
If a lock or door malfunction prevents entry, a work order will be submitted for repair and classified as Priority 2.
Low or Dead Batteries (After Hours)
Security will use a portable device to power and open an Onity lock or use a physical key to access an ASSA ABLOY lock. A work order will then be submitted for battery replacement.
Security is responsible for ensuring the portable device is functioning properly and for receiving appropriate training.
Office Closures
Security assists Facilities Management in reporting emergencies outside of normal business hours and during office closures (e.g., Devotionals on Tuesdays from 11 am – 12 pm and staff meetings on Thursdays from 11 am – 12 pm).
Lock-outs are not considered emergencies; therefore, employees or residents requesting service during these closures should expect to wait until the office reopens.
